360 Sync with Vault

More and more often, Applied Software civil and manufacturing clients who use 360 Sync are calling us with the same challenge:

I use Autodesk Vault software, but the general contractor/owner/ design team uses something else. It has really become a pain for me to move my files between the two.

Manually moving files from one place to another is a huge pain in the butt, and many Applied Software customers are looking for a better way to sync their data between Vault, BIM 360, Procore, SharePoint, and/or something else.

The good news is that 360 Sync can automate the file transfer process between Vault and many other data sources. You can move files either at the push of a button or automatically schedule the files to move to/from Vault. Even better, it’s so easy to do . . .  it only takes five minutes to set up.

Vault Setup

Setting up 360 Sync with Vault is a breeze. All you have to do is input your server, Vault, and enter your user name and password credentials for Vault. Then, you can choose between Vault or Windows authentication. Once you’ve filled out that information, all you have to do is click Save, and you’re good to go. You can now connect to Vault. 360 Sync supports and connects to Autodesk Vault 2018, 2019 and 2020. We can even connect to 2021 – just ask!

Configuring your Project

From there, the rest of setup is pretty typical. Choose where you want data to come from and where you want it to go; then select the project and folder(s) that you want to move. Most 360 Sync customers use Vault as their single source of truth, because it’s great at checking files in and out and managing an approval workflow.
Vault has a few more bells and whistles when compared to most other 360 Sync integrations because it includes the ability to customize the files you move based off of Lifecycle statuses.

Not only can you move your files from Vault as often as you want, but you can also customize when the files are sent. For example, if you want to send over only approved design changes, then you could simply choose to filter only the “Approved” lifecycle state. Or, if you’re managing RFIs or submittals through Vault, you could choose multiple lifecycle states – for example “Approved,” “Approved as Noted,” “Revise and Resubmit,” and/or “Rejected.” In this way, whenever a certain file made it to a certain point in your workflow, it would be updated both in Vault and wherever else you needed it. In the example above, I selected all of the “Released” statuses, so whenever a file was marked “Released,” it would then (and only then) be sent to BIM 360. So that’s it! It’s really easy to set up 360 Sync to move files between Vault and any other data source it connects to – and that list is getting longer all the time thanks to customer input. New integrations, features and enhancements to 360 Sync are released regularly.
